2018 Board Elections Meetings

I wanted to let you know that elections are fast approaching for the 2018 Albany Pop Warner Board.  We have several positions open for next year.  If you are interested in being a part of the Board, please email me at and let me know.  I will be putting the ballot together soon.  Our election meeting is scheduled for January 4, 2018 at 6:30 pm at SAHS.

Here is a description of our Board positions:

President. The President shall:

a) Conduct the affairs of Albany Association Pop Warner and execute the policies

established by the Board of Directors.

b) Present a report of the condition of Albany Association Pop Warner at the annual meeting.

c) Communicate to the Board of Directors, such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of Albany Pop Warner.

d) Designate in writing other officers who have power to make and execute for/and in the name of Albany Pop Warner such contracts and leases they may receive and which have had prior approval of the Board, if necessary.

e) Investigate complaints, irregularities and conditions detrimental to Albany Pop Warner and report thereon to the Board or Executive Committee, as circumstances warrant.

f) With the assistance of the Board, examine the application and support of proof-of-age and any other required documents of every participant candidate and certify to residence and age eligibility before the participant may be accepted.

Vice-President. In case of the absence or disability of the President, and provided he/she is authorized by the President or the Board so to act, the Vice-President shall perform the duties of the President, and when so acting, shall have all the powers of that Office, and shall have such other duties as from time to time may be assigned by the Board of Directors or by the President.

Secretary/Treasurer. The Secretary/Treasurer shall:

a) Be responsible for recording the activities of Albany Association Pop Warner and maintaining appropriate files, mailing lists and necessary records.

b) Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary/Treasurer or as may be assigned by the Board of Directors.

c) Maintain a list of all Regular, Sustaining and Honorary Members, Directors and Committee members and give notice of all meetings of the Albany Association Pop

Warner Board of Directors and Committees.

d) Keep the minutes of the meetings of the Members, the Board of Directors and Executive Committee, and cause them to be recorded in a book kept for that purpose.

e) Shall conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.

f) Notify Members, Directors, Officers and committee members of their election or appointment.

g) Be responsible for the collection of registration fees and other funds of the Association and shall keep full and accurate accountability of said funds until they are remitted to the League Treasurer for deposit and recording in the League’s books.

h) In general, perform all duties incident to the office of Secretary/Treasurer and such other duties as from time to time may be assigned to the Secretary/Treasurer by the President or the Board of Directors.

Athletic Director. The Athletic Director shall:

a) Represent each level of play for all contact football teams in their respective districts.

b) Be the liaison for the coaches to the Board.

c) Maintain file of rosters with an update of adds and drops as provided by the Teams.

d) Receive weekly report of game scores and forward copies to the President and retain copies of such reports.

e) Receive and retain in the files, weekly mandatory play sheets from the coaches. Report to the Board any coach in violation of the mandatory play rules.

f) Investigate weekly any lopsided scores of games per Pop Warner guidelines. Report any such findings to the Board with recommendation of sanctions if any are required.

g) Field from coaches any violation of Pop Warner playing rules, investigate and file complaints from coaches to the appropriate league/association party. If unable to resolve the problem, send a written recommendation to the Board for investigation.

h) Preside over football sign-ups for the Association and be responsible for assisting the League Athletic Director with team assignments.

i) Recruit and present to the League Board any person interested in coaching teams for the Association. Be responsible to oversee the functions and activities of all football personnel and be responsible for ensuring team coaches for the Association enforce all safety rules.

j) Investigate and report to the President and Board of Directors any and all complaints regarding football personnel. Submit said complaints, investigations and findings, in writing, to the Board of Directors for review.

k) In general, perform all duties incident to the office of Athletic Director and such other duties as from time to time may be assigned to the Athletic Director by the President or the Board of Directors.

Scholastics Coordinator. The Scholastics Coordinator shall:

a) Report to the League Scholastics Coordinator.

b) Verify scholastic fitness of each boy/girl in the association. (report cards from the school year ending in May or June) and making sure that any child with a 96% grade point average or above receives an All-American Application.

c) Follow up with those parents whose child(ren) received the application and making certain that all applications are completed in full, as well as the addendum, and signed by the child and his/her parents.

d) Send the applications to the League Scholastic Coordinator, once the local coordinator has identified the All-American candidates from their associations. Association coordinators can serve on the conference screening committee (to screen conference candidates for regional and national consideration).

e) Work with the League coordinator to recruit sponsors for a League recognition banquet and help organize the League scholastic banquet.

f) In general, perform all duties incident to the office of Scholastics Coordinator and such other duties as from time to time may be assigned to the Scholastics Director by the President or the Board of Directors.

Cheer Coordinator. The Cheer Coordinator shall:

a) Report to the League Cheer Coordinator, Regional Cheer and Dance Coordinator and National Cheer and Dance Commissioner, if required.

b) Be responsible for counseling squads on rules and regulations, directing successful registrations, coaches' clinics, competitions, and other Association operations.

c) Advise local squads, ensuring that all national regulations, region and league policies relating to cheer and dance are being enforced, that the education of coaches and children is being advanced, and that safe and fair competition is available wherever desired.

d) Be responsible for acting as a liaison between the League Cheer Director and Association field personnel.

e) In general, perform all duties incident to the office of Cheer Coordinator and such other duties as from time to time may be assigned to the Cheer Coordinator by the President or the Board of Directors.

Gear return schedule is posted in the picture below.  Gear return will run pretty much the same as certification. Teams will come in as a group for gear return at their scheduled time, same as they did at certifization.

Team's player admin. or team mom will have the gear contracts for the team and will be at the return table with Rose. When the player comes to the table their gear the contract will be handed to Rose, she will visibly check to make sure the gear is there and sign off on the gear contract. From there the player will put the gear back. Parents can come do gear return in their players place if necessary. 

Practice jerseys, gear bags, and pants should only have one person taking care of all three, just making sure that the pants get placed in the right size bin. A board member will put away the helmets. Each team is allotted 10 minutes and it should not take more than that when they are walking through and putting up gear, it should be a straight up walk and drop. Board members will be in the warehouse to help direct players putting their gear away. 

If there is any missing gear it will be recorded on the gear contract and a letter for the return of the missing gear will be sent out to parents. Any player that does not return gear will be invoiced for the gear. 

Parents please make sure wash the practice jersey, wash the pants and hang dry them, turn the bag inside out and let it air out and spray it with a disinfectant, wipe down the shoulder pads, remove helmet stickers and wipe down inside and outside of helmets.

Medford, Eugene, and JPW Bulldogs are not on the schedule, they will be returning on a different day.

This just in from Albany Association President Justin Adams:

Good afternoon parents,

With soaring temperatures forecasted to reach high triple digits this week our association has discussed our plan of action. In most cases we would follow the OSAA Heat Index and make our decision on a day by day basis. Forecasted temperatures don't always mean guaranteed temperatures. With this being our first week of practices, and for some small kiddos their first practices of any sort, we are issuing an Albany Association-wide cancellation of this week's practices. High school's may have practices going on. However, we feel our little players won't be acclimated to this extreme heat. We will always er on the side of caution! No matter what you do this week be sure to drink plenty of water and be safe.

Attached is the team schedule for certification.  Please have your team arrive 20 minutes early to have the team book checked before players line up for certification.  If teams are late the next team in line will move forward and the late team will have to wait.  Double check your team book to make sure all paperwork is in it and all signatures are on all the paperwork to avoid delays.  Any player missing paperwork will not be able to complete certification and will not get to take their gear bag.  See you all soon!
